Managing Your Telephone for Peak Efficiency

Have you ever felt like your telephone was your worst enemy and your best friend? It happens to all of us. This ingenious invention allows you to communicate with people in the next office, city or country. Yet, as useful as this invention is, it can cause some real headaches.

Many times the telephone can be the source of many of your interruptions throughout the day. Although the calls coming in or the ones that you are making are important, not all of them are equally important. To manage your telephone effectively and efficiently, you must have a strategy before you use it.

One of the things you must decide at the beginning of the day is when and how you will use your telephone. Outgoing calls can be grouped into a certain time frame. At this time you will make calls to the people with whom you must connect. If you cannot reach some of the people on this list, make sure you give them a specific time frame when they should call you back. Another option is to communicate that you will try them back at another time. This gives you the opportunity to be able to speak with them when it is best for you.

Another part of your strategy is deciding, before your telephone rings, which calls you will take. Depending upon who is calling, you must know whether or not you will answer it. Be clear in your own mind, if it would be better to complete the task you are working on, or complete the telephone conversation you are having with a different person, than to take a different call.

By having a plan to manage your telephone effectively and efficiently, you will make better use of your time and experience less stress.
