    Company is a family office and private equity firm with the mission of helping start-up, early stage, and family businesses grow through the strategic infusion of capital and hands-on leadership.

    We are seeking an AP Specialist who will execute the accounts payable process and transactions. This includes the timely entry of accounts payable invoices into the ERP system, and the application of cash against open invoices.

    The position is located in our headquarters in Chicago, IL and will report to the Financial Controller.

    Essential Duties and Responsibilities

    This position will assist in building a best practice Accounts Payable function and execute on processes created. It will also assist with accounts receivable duties from time to time. As the firm continues to grow, the ideal candidate will possess a tremendous amount of flexibility and resourcefulness with regards to traditional duties and responsibilities. The work will continue to change; however, the following functions will form the foundation of the position, Executes the accounts payable process including: proactively reviews invoices for proper taxation, verifies non-PO invoices are in compliance with spending authorization levels and are coded accurately, daily vouchering of PO invoices ensuring 3-way match, and scans all invoices to document database, Investigates vendor payment issues and proposes countermeasures to prevent recurrence, Drill into ERP system to research issues on vendor accounts, search for goods receipts, payments received, etc., Maintains a clean AP aging. Debits on a vendor account should be resolved timely, Support month-end closing process with AP accruals and year end audit if applicable, Coordinates new vendor set-up, ensuring that all forms and payment information is in alignment with standard work and compliance (W9's, terms), Assists with annual 1099 filing process and maintains relevant vendor W9's on file, Posts daily cash receipts (lockbox, wire, credit card to AR accounts timely and accurately, Reconciles daily credit card transactions versus cash funding, Maintains proper sales tax certificates within each state's compliance rules, Assist with administration for Certify Expense management system. Responsible for driving proper usage of the system and trouble shooting expense reports., Demonstrates excellence in completion of all other job duties

    Qualifications

    Associates degree required, 3 to 5 years experience in AP processing, Basic knowledge of sales tax, Commitment to continuous improvement to maximize efficiency through the use of technology, Ability to problem solve open items while striving for excellence. Maintain accuracy while meeting deadlines. Positive attitude, detail and customer-oriented with good interpersonal, multitasking, prioritization, time-management, and organizational skills
