  • Job Summary

    The Assessment & Evaluation Department Specialist provides administrative and operational support to department leadership and staff within the Kaiser Permanente Bernard J. Tyson School of Medicine. The primary responsibilities include the use of standard project management methods and techniques to ensure successful completion of projects. Projects can vary from small, short term projects through large, enterprise level projects across functional areas.

    Essential Responsibilities

    • Coordinates project proposals and recommends updates to department documents. Identifies and tracks project issues, resolving issues where possible or escalates to management when needed. May identify risks and participate in mitigation activities.

    • Participates in project meetings. May document issues, action items, user requirements, or deliverables from project meetings. Performs a variety of project related activities, including updating project schedules and plans, project communications, and budget tracking.

    • Identifies opportunities for business or process improvement; makes associated recommendations as appropriate.

    • Researches questions or discrepancies by reviewing historical data. Ensures data integrity by periodically auditing data.

    • Provides guidance to end users and implements department processes in accordance with established policies and procedures.

    • Provides guidance to stakeholders, including leaders, faculty and staff as needed, and collaborate with stakeholders to ensure program goals are met.

    • Coordinates administrative workflow of the department; develop new processes and implement process improvement initiatives as needed.

    • Develop training programs for new staff members as appropriate.

    • Facilitates recruiting, interviewing, hiring, and training, including onboarding plans.

    • Develop and maintain highly customized and appealing intranet site design, including format, and edit of contents.

      • Provide support to the department management and senior leadership as needed, and collaborate with them on ensuring program goals are being met.

    Basic Qualifications:

    Experience

    • Minimim five (5) years of operations, project management, administrative experience, business/professional communication or intranet/web site management and maintenance.

    Education

    • Bachelors degree Business, Healthcare, Technology or related discipline

    License, Certification, Registration

    • N/A

    Additional Requirements:

    • Applies methods or recognized equivalents appropriate to the specific needs of the project/client.

    • Works assertively and in collaborative fashion intra- and inter-office to optimize organizational effectiveness.

    • Demonstrates application of approved project administration and management methods and business methods to projects.

    • Must be skilled working with Senior Executives in a program/office.

    • Experience developing written communication products (e.g., email messages, announcements, etc.) in an education and/or corporate environment.

    • Extensive project administration and management background and knowledge.

    • Office operations and management.

    Preferred Qualifications:

    • Experience with project management software.

    • Certified Associate in Project Management (CAPM) or related certification.

    • Experience in a matrixed organization.

    • Masters degree in Management Science, Business, Economics, Social/Physical/Life Science, or related field.
