  • The Executive Administrative Assistant will coordinate the day-to day operations of the VP Sales & Solutions and VP Operations & Supply Chain in all their roles with the organization. This includes, but is not limited to, performing various and complex administrative tasks and projects as assigned. It also requires professionally interfacing with the entire Copeland organization and customers on behalf of the Vice President's.

    Duties and Responsibilities

    • Coordinates and maintains executives' daily calendar. Organize and schedule appointments, meetings, conferences, teleconferences.

    • Plans and arranges domestic and international travel, accommodations, transportation, itineraries, and all correspondence related to arrangements.

    • Prepares and reports business expenses including reconciling these expenses with credit card statements.

    • Prepares and produces a variety of correspondence, memos, letters, forms, reports, spreadsheets, slide presentations, and other similar administrative activities as requested.

    • Plans and organizes meetings, customer visits, organizational meetings, and events including reserving meeting space, arranging for catering, preparing, distributing, and collecting materials.

    • Carries out administrative duties such as filing, copying, binding, scanning. Creates and maintains an accurate filing system to organize documentation.

    • Maintains and orders office supply inventory.

    • Onboarding & offboarding assistance for executives' direct reports.

    • Maintains professional appearance, attitude, and behavior at all times and handles sensitive information in a confidential manner.

    • Assists others on various tasks and projects, provides information by answering questions and requests. Communicates, participates, and contributes as part of a team.

    • Collaborates with leaders across organization to coordinate Kennesaw site visits, including visitor enrollment, meeting space and meal coordination.

    • Effectively maintains visitor management system and greets incoming visitors to the Kennesaw site

    Working Conditions

    • This position is salaried with normal working hours of 8:00am to 5:00pm. Position will be in-office Monday-Friday.

    • While performing the duties of this job, the employee may be required to work unsupervised for long periods of time.

    • This position requires the ability to handle frequent stressful situations, incoming calls, and internal requests in a friendly, efficient, and professional manner to ensure the positive reputation of the company.

    • This position requires excellent communication and organizational skills.

    Basic Education & Skills Requirements:

    • High school diploma or equivalent experience

    • Proficiency in MS Word, Excel, Powerpoint and Outlook.

    • Minimum of three years of executive level administrative support experience.

    Basic Education & Skills Requirements:

    • Bachelors Degree or equivalent experience in business administration

    • 5 Years of experience supporting internal leadership in an administrative capacity
