    Description:

    REQUIRED EDUCATION, EXPERIENCE AND LICENSURE:

    Education

    • Must possess a broad based knowledge of administrative support, business terminology, meeting planning, and English composition normally obtained through completion of an Associate's degree or two years of college and/or approximately eight years secretarial experience.

    Licensure

    • None

    Training and Experience

    • Significant administrative and secretarial experience is required, including a minimum of five to ten years of experience at a senior executive level.

    • Must possess proficient knowledge of Microsoft Word, Excel, PowerPoint and Calendar software. Knowledge of electronic mail systems in PC LAN environment.

    Job knowledge

    • Must be able to develop PowerPoint presentations an have an ability to use multiple computer programs

    • Must possess demonstrated ability to handle confidential information and exercise good judgment.

    • Must possess strong organizational skills.

    • Must possess strong written and verbal communication skills.

    • Must be comfortable operating within a collaborative, shared leadership environment.

    • Must possess a personal presence that is characterized by a sense of honesty, integrity and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals and values of Trinity Health.

    • Must be able to adapt to frequently changing work priorities.

    Plans the office workflow in order to ensure the needs of various constituencies are met in an effective and professional manner. Develops agendas, serve as a liaison among committee members, senior management, external consultants, and others for SMMH meetings. Reviews agenda materials and advises as appropriate to ensure completeness, clarity and compliance to SMMH policies and procedures Develops communication for distribution throughout SMMH, including agendas, materials, minutes and the necessary scheduling. Follow-up coordination includes pending issues discussions/decisions. Prepares correspondence for both routine and special matters. Works on special projects as assigned, often serving as a liaison between SMMH and the corporate office, in order to facilitate or expedite various programs and /or projects. May be assigned to facilitate contract management and business associate agreements as necessary. Maintains calendar for the VP/CMO, including the standing commitments, special meetings and conferences without prior clearance. Assists as directed with meetings. Performs follow-up on meeting assignments.

    H. Secures travel arrangements for conferences; reconciles expenses for reimbursement

    Coordinates arrangements for off-site meetings as needed

    Attends to other tasks as assigned.
