  • Description We are offering a role in the Real Estate Property/Facilities Management industry located in Boston, Massachusetts. The position is for a Front Desk Coordinator. This role entails ensuring smooth operations at the front desk of our facilities, providing exceptional customer service, and handling various administrative tasks.

    Responsibilities

    • Handling a multi-line telephone system, directing calls to the appropriate person or department, and providing information to callers in a professional manner.

    • Greeting and screening incoming visitors, informing the relevant person of their arrival.

    • Managing the key check-out system and ensuring its efficient operation.

    • Receiving and signing for courier deliveries and pick-ups, notifying the relevant person of package arrivals.

    • Sorting and distributing mail, including checks, invoices, and correspondences.

    • Operating standard office equipment such as postage machines, folding machines, fax/copier/scanners.

    • Performing data entry tasks and updating client information as needed.

    • Maintaining common office areas to ensure they are tidy and presentable for clients.

    • Creating and maintaining response letters for various incoming correspondences.

    • Reviewing and editing scanned management reports as needed.

    Skills

    • Exceptional Customer Service skills

    • Proficiency in Answering Inbound Calls

    • Experience in Receptionist Duties

    • Proficiency in Data Entry

    • Previous experience as a Part-Time Receptionist would be advantageous Requirements - Proficiency in customer service and ability to handle customer inquiries and complaints effectively

    • Experience in managing reception area, including greeting visitors and responding to telephone and in-person requests for information

    • Ability to handle inbound calls professionally, providing timely and accurate information to callers

    • Strong data entry skills, with attention to detail and high level of accuracy

    • Willingness to work part-time hours, including some evenings and weekends

    • Familiarity with real estate or property management industry would be advantageous

    • Excellent communication and interpersonal skills, with the ability to interact with people from diverse backgrounds

    • Ability to multitask and prioritize tasks in a fast-paced environment

    • Proficiency in using office equipment, such as printers and fax machines

    • Basic knowledge of Microsoft Office Suite, including Word, Excel, and Outlook

    • High school diploma or equivalent. Higher qualification in office administration or relevant field will be a plus.
