  • Hillsborough County's Supervisor of Elections are now hiring Mailroom Specialists!!

    • Department Name: Voter Services

    • Position Title: Mailroom Specialist

    • Pay Rate: $18/hr.

    • Assigned Work Location: ESC

    • Hours: Standard 8:00am - 5:00pm with the availability to work earlier, later and weekends

    Job Qualifications:

    • Ability to lift up to 30 pounds repeatedly, bend, and reach.

    • Ability to work on feet most of the day.

    • Ability to push standing carts and racks.

    • Associate's Degree from an accredited degree granting college or university, or high school diploma/possession of a GED certificate and two years of clerical experience. Ability to use initiative, and exercise sound judgment.

    • Computer skills, including Microsoft Office products.

    • Strong organizational, oral and written communication skills.

    • May require specialized technical knowledge of a specific operational area.

    • Possession of a valid and current FL Driver License with no more than six points.

    Illustrative Job Duties:

    • Manages the day-to-day operations of the Elections Service Center mailroom facilities.

    • Receives all daily incoming mail from the USPS.

    • Daily sorting and organization of all mail prior to the batching and scanning process.

    • Identify and distribute all incoming mail to the proper correspondents through the scanning process.

    • Preparation of mail batches for processing in workflow and agency voter maintenance software.

    • Operation of bulk-mail scanner/sorter

    • Scans all undeliverable mail accordingly to bulk processing vs. manual processing based on type, quantity and forwarding address availability.

    • Create inventory labels for boxes and pallets for record storage.

    • Assist the Voter Service department with outgoing weekly notices.

    • While in-cycle, assists the Vote by Mail and Data Manager with daily packaging of outgoing VBM ballots, scanning of incoming VBM ballots, and processing of return undeliverable VBM ballots.

    • Assists in the development and implementation of mailroom-related policies, procedures, and guidelines to ensure operational efficiency.

    • Engages with other departments to ensure efficient flow of communications and services.

    • All other duties as assigned.
