    Minimum Qualifications:

    Job Summary:

    To supervise the Residency Coordinators and oversee the day-to-day operations of all residency programs within the department; to serve as a liaison with the Office of Graduate Medical Education (GME).

    Job Duties:

    • Provides direction and supervision to the residency coordinators in assuring that all requirements of the ACGME/SSO/CODA/TMB are continuously met. Assist with the training of new coordinators and tasks throughout the year.

    • Manages the General Surgery recruitment process in ERAS, facilitate interviews, manages the interview evaluations, NRMP registration, onboarding of residents to include processing of resident appointments, work agreements, New Innovations onboarding checklists, Texas Medical Board licensing, NPI registrations, assists with processing new visa applications and facilitation of offsite credentialing.

    • Works with outside coordinators for onboarding and appointments for Without Salary rotators.

    • Assists the Program Director with activities throughout the year in correspondence to GME/ ACGME/ ABS, creation of the master schedule, rotations from 10+ programs, creation of the annual vacation schedule for all residents and rotating residents, runs documents for Clinical Competency Committee meeting, semi-annual reviews, Program Evaluation Committee meeting, submission of AAMC/FREIDA surveys, acts as a liaison between residents and the Program Director.

    • Processes Affiliation Agreements and program agreements through Cobblestone for rotations, handbook updates, visa renewals, tracking of BLS/ACLS/ATLS, verifications for current and former residents, loan deferments, registration and proctoring of ABSITE exams, monitoring of SIMPL EPA's, processing of moonlighting agreements and additional pay for shifts.

    • Timekeeper for surgery residents; facilitate entry of requests for Kronos. Process historical edits as needed. Entry of vacations and leave into New Innovations. Monitoring extended leave (FMLA) for all residents to stay compliant with UTMB, ACGME and American Board of Surgery leave requirements. Submission of flexible schedule requests to ACGME as needed.

    • Works with the Graduate Medical Education office for appointments, reclassifications, transfers, completion of appointments, termination of residents and resident salary adjustments.

    • Assists with Cobblestone entries for offsite rotations, submits resident timesheets for monetary exchange agreements, tracks resident USMLE scores, monitors BLS certifications, registers residents for various workshops, attends monthly GME meetings.

    • Proficient in the use of the New Innovations system to include assistance to the coordinators, provide accuracy of resident assignments, ensures the equity of evaluations (resident to faculty, faculty to resident, peer to peer, nurse to resident, end of rotation), creates the resident semi-annual evaluation portfolio, runs evaluations for CCC reviews, facilitates the Annual Program Evaluation, IRIS data accuracy, duty hour violation review, and semi-annual summative evaluation of faculty distribution.

    • Assists with conference attendance set up as needed.

    • Monitors the Resident Development Fund, tracks expenses, processes resident travel and reimbursement through Power.

    • Processes the Resident Development Fund purchases, motors purchase orders for residency related expenses and transfers funds to the correct accounts as needed.

    • Acts as a HCM representative for DBR submissions for all surgery house staff.

    • Performs related duties as required.

    Salary Range:

    Commensurate with experience.
